Privacy Statement
First of all
We mediate people to new positions or assignments. This is a fragile service.
Maintaining the utmost confidentiality with the data of
– those whom we have approached for actual vacancies or assignments,
– or those who have approached us for this purpose themselves (collectively further referred to as “Candidates”),
is essential for our business operations but especially for the individuals in question.
Here we explain how we handle your privacy:
– what data we process
– for what purpose
– what rights you have regarding the processing of personal data in our possession.
Attached is a set of documents that indicate “how we work” (see our process), and below is an explanation that details how we handle your personal information. You can also find that on our website.
Who is xentys?
Xentys BV is located at Spaces ‘De Rode Olifant’, at Zuid Hollandlaan 7, 2596 AL The Hague, kvk no. 27346676.
With respect to your personal data, we are the ‘data controller’ in accordance with the AVG Act.
Our data protection officer is Maarten Smits van Oyen, who can be reached at maarten.smitsvanoyen@xentys.nl.
For what purpose do we use your personal information?
Below is an overview of the purposes for which we store personal data. This also indicates what data we store and use, the legal basis for processing that data and how long the data is kept by us.
Placement for permanent positions:
Purpose: in order to place candidates for vacancies, we need to have their data.
Our operations are aimed at having the data of suitable candidates at our disposal.
Data: Curriculum Vitae, career data, contact details, motivation letters, reports of our interviews with candidates, photos, correspondence and other data provided by the candidates themselves
Basis: either “legitimate interest” (for the provision of the service of “placement for permanent positions”) or we have “permission” from the candidate concerned
Our interest: commercial interest
Retention period: 3 years
Mediation for interim assignments:
Purpose: in order to mediate candidates for interim assignments, we need to have their data.
Our operations are aimed at having the data of suitable candidates at our disposal.
Data: Curriculum Vitae, career data, contact details, motivation letters, reports of our interviews with candidates, photos, correspondence and other data provided by the candidate himself
Basis: either “legitimate interest” (for the provision of the service “mediation for interim assignments”) or we have “permission” from the candidate concerned
Our interest: commercial interest
Retention period: 7 years
Actively search for new candidates: for both permanent and interim positions:
Purpose: For some functions, advertising and/or searching our database is insufficient. For this we use software that looks for candidates with a specific ability and knowledge, the so-called skill set. These candidates enter a project-specific and temporary “long list” with search results. The candidates on this list are then manually selected by a consultant from Xentys and the data used to alert by email or linked-in message to a job opening of potential interest. After use, the temporary file is destroyed.
Data: Career data, contact details, photos, references reviews (so-called third party endorsements) and other data provided by the candidate himself on public websites -such as, for example, but not exclusively Linked In-.
Basis: either “legitimate interest” (for the provision of the service “mediation for interim assignments”) including requesting the consent of the candidate concerned to mediate them and storing the data for that purpose.
Our interest: Commercial interest.
Storage period: 3 months. This is the typical length of time from proceedings to a signed employment contract. Extension is possible only when the procedure is ongoing but not completed.
How do we obtain your personal data?
We hold your personal information because you have sent it to us yourself (by email), whether through an intermediary internet site that displays job openings and/or interim assignments or not, or because we were able to find it on public internet sites (e.g. LinkedIn).
What are your rights?
Based on the AVG law, you have a number of rights regarding your personal data and its processing: INVESTIGATION.
If you would like to see your own personal data recorded with us, you can make a request for inspection at info@xentys.nl.
Change
If you want to make changes to the personal data you have seen, you can request xentys to do so: change, correct, supplement, block or delete data.
Restrict processing
You have the right, under certain conditions, to request xentys to restrict or stop processing your personal data.
Right to object
You have the right to object to the processing of your data unless you have given us explicit consent to process your data.
Data transfer
You have the right to obtain your personal data from us in the format as we have it on file.
Consent Revocation
You always have the right to revoke a consent to process your data once it has been issued. This then applies only to future actions. As a result, we may no longer be able to provide you with certain services.
